SUMMARY OF STATEMENT OF POSITION
The GM is responsible for overseeing the strategic direction and operational excellence of The Estates at Acqualina. Key responsibilities include developing and executing business plans, ensuring financial performance, maintaining quality standards, and fostering a positive living experience for residents. Collaborates with CEO and CFO, implement standardized policies, detailed department/SOPS, company IT solutions, company preferred vendors, and lead initiatives to enhance community engagement.
This role involves developing and implementing strategic plans to ensure the highest quality of residential services. The GM should possess CAM license, strong leadership skills, in-depth knowledge of residential care regulations, and the ability to foster a positive and inclusive environment for both residents and team members.
REPORTS TO: CEO & Partner
RESPONSIBILITIES
Responsibilities include the hire and supervision of facility Directors/managers, coordinating team member training, maintaining regulatory compliance, and collaborating with various departments to enhance resident well-being. Working closely with Ownership and Management Company Executives, Board of Directors, Developers, Designers, Construction, Engineer Firms, Consultants, and Legal Teams on all building and service requirements and ensure that all condo assn. document requirements are in place.
Monthly Reporting on Community KPIs, Shared Reserves and Capital Improvement, Projects and Building Management. Ensure expenses do not exceed budgets. Manage Grill Operations to meet expectations. Ensure Amenities are well maintained, and Monthly Events are programmed at each community befitting lifestyle. Implement, revise as needed, and garner Board of Director Approvals of all Rules & Regulations. Hold peak period planning sessions for smooth operation execution. Review staffing levels and make necessary adjustments.
Administrative
1) Develop, monitor and administer all functions of Community Association Management in accordance with Florida Statutes, Chapter 718, and the Association's Condominium Documents.
2) Maintain records of contracts, services, Unit Owner files and Association meetings.
3) Monitor legal and insurance conditions for the Association.
4) Maintain proper staffing requirements.
5) Implement and enforce Rules & Regulations of the Association.
6) Accept bids for contracts on behalf of the Association.
7) Perform any other permitted assignment as directed by the Management Owners/CEO and Board of Directors.
8) Ensure all Unit Owner notifications are sent out in a timely manner.
Financial
1) Oversee and monitor all bookkeeping operations.
2) Develop and prepare the Annual Budget.
3) Comply with the guidelines of the Annual Budget.
4) Monitor the collection of the Maintenance Assessment Payments.
5) Verify, monitor and approve Accounts Payable.
6) Take appropriate action to ensure the timely collection of all past due accounts.
7) Review monthly Financial Statement.
Operations
- Oversee supervision of all Condominium services, ensure complete knowledge of buildings infrastructure, equipment, maintain requirements, warranties etc.
- Obtain all Vendor contracts and trace 60 days minimum before notification term.
- Ensure compliance on all vendor agreements (IT, Cleaning Company, Elevator Company, Valet Parking, Pool & Beach, Pest Control, Landscaping, Window Washing, etc.) And vendor policies are provided and signed off on.
- Hold weekly developer/construction/Board and management executive meetings to review outstanding Critical Path items and progress.
- Provide orientation to new Residents and Team Members. Meet all residents and maintain an exceptional relationship with them.
- Assist with Offsite Garage parking requirements.
- Provide analysis of Valet Parking vehicle movement, costs, revenues, and charges to HOAs.
- Provide any Developer billback details to Developer/Board with details to assist with collection.
- Participate in Shared Reserve Study Analysis and schedule improvement projects.
- Ensure preventative maintenance programs are in place for each community.
- Ensure residents follow renovation approved guidelines and each community has an inspection plan.
- Assist streamline/consolidate software as needed. Be well versed on the building technology platforms.
- Create uniformed standards across all communities to include OSE and vendor selections and evaluation.
- Guide and assist the Board of Directors in complying with various requirements of Association Management as set forth by Florida Statutes, Chapter 718.
- Attend all meetings of the Board of Directors.
- Ensure Resident Services such as Daily Breakfast, Juice Bar, Fitness Center, Spa, Grill are at the 5 star experience.
- Prepare Critical Path on strategic assignments and present to CEO & CFO, as well as Ownership as needed.
- Assisted with New Hire Orientation.
- Prepare/Submit Monthly Managers Report and Financial Report.
- Ensure Daily Handover is communicated to key executives.
- Ensure Daily Pre-Shift Meetings are held.
- Review HR documentation such as organizational chart, comp set pay rate comparison, job descriptions, uniforms, performance reviews and schedule/attend meetings with Acqualina HR Department.
- Implement Brand Employee recognition programs.
- Implement WOW stories and ensure all resident preferences are in Buildinglink or designated building management system.
- Be present at key resident events and daily movements, and one day on weekends as well as holidays when needed.
- Ensure Safety procedures are in place.
- Prepare Consistent Standard Communications to Communities includes reminder of policies, and happenings.
- Attend all Forbes Training and Acqualina mandatory sessions.
- Enforce the Rules and Regulations.
- Ensure communities are maintained in the highest standards without compromising the budget.
REQUIREMENTS
1) Must have Community Association Manager's License issued by the State of Florida Department of Business Regulation.
2) Must possess excellent interpersonal skills.
3) Must have excellent command of the English language plus equally good writing skills.
4) Must have a Residential Property Management background.
5) Must have previous supervisory experience with a minimum staff of twenty-five (25).
6) Leadership qualities a must.
